What’s Next for Coworking: Highlights from the Yardi Kube User Group 2025

The recent Yardi Kube User Group offered a compelling look into the future of flexible workspace technology. From a sneak peek at the next generation of platform features to a strategic company update from Yardi President Rob Teel, as well as a preview of the upcoming Yardi Kube CRM. The key theme was clear: coworking is evolving, and Yardi is investing heavily to help operators grow, scale, and succeed.

Company Update from Rob Teel, President of Yardi

Rob Teel’s update provided valuable insight into Yardi’s broader strategy and product roadmap, with a particular emphasis on coworking’s importance to the company.

Why Coworking Matters

Yardi now supports over 275 operators across 1,400 locations, including 70+ in the UK. More than 200 employees across development, implementation and support are dedicated solely to this sector.

Coworking is the future of office space. With large commercial landlords now launching their own flexible workspace brands, Yardi is investing heavily to support both established operators and newcomers to the sector.

Broader Platform Investments

Rob also outlined recent investments and enhancements across the Yardi ecosystem, including:

  • Power BI integration, enabling custom dashboards and enterprise-grade reporting
  • Facility Manager, helping you to manage your reactive and planned facilities processes, and mobile inspections to deliver walkthroughs, so you can quickly raise any issues to the facilities team.
  • Construction management tools, improving operational control
  • Yardi Aspire, a flexible training platform to onboard and upskill coworking teams

Lead Generation Meets Aggregation

Lead Generation Meets Aggregation
Yardi is expanding its lead generation capabilities through strategic acquisitions:
  • Hubble – the UK’s leading office space search platform
  • Deskpass – a U.S.-based marketplace for conference room bookings
  • CoworkingCafe – Yardi’s in-house listing site, now generating over 15,000 leads per month

These platforms are being tightly integrated into Yardi Kube, delivering leads directly into operators’ dashboards for immediate follow-up. Furthermore, your meetings can be automatically synced to these listing sites and through operator networks. A further update, coming soon, will enable members to book in cities where they do not currently operate, providing a better service.

AI-Powered Sales Tools

A major focus going forward is ChatIQ, Yardi’s AI-driven chatbot. Available 24/7, it can:

  • Answer queries
  • Schedule tours
  • Manage renewals and payment reminders

Early results show it significantly outperforms traditional sales reps in tour bookings and first-contact conversions.

Coming Soon: Key New Features in Yardi Kube

Alongside CRM and AI advancements, the new version of Yardi Kube, launching later this year, includes a suite of enhancements designed to streamline operations, reduce manual work, and enhance member experience.

Community Dashboard

Yardi Kube - Community Dashboard

The redesigned Community Dashboard offers a centralised view of all daily activity, including tours, bookings, visitors, and tasks, across all your sites. With unified member management and real-time metrics, your team can stay on top of everything without needing to switch between systems.

Move-In, Move-Out (MIMO) Tracking

The new MIMO dashboard provides visibility into all upcoming member transitions. Automated checklists, built-in workflows, and integrated email tools ensure everything runs smoothly. Operators can also track and manage security deposits directly within the system.

Automated Member Check-Ins

Yardi Kube now enables automated member engagement, including welcome check-ins within the first 30 days and recurring quarterly touchpoints. Operators can also schedule manual check-ins for personalised support.

Flexible Pricing Management

Bulk pricing updates across spaces and amenities can now be scheduled or applied instantly. New features support market and renewal-based pricing strategies with enhanced visibility and control.

Smart Promotions

The Promotions feature lets your team apply pre-approved discounts directly within contracts by space type, amenity, or individual asset. It’s quick, consistent, and eliminates approval bottlenecks.

Contract Enhancements & ySign Express

The contract experience has been rebuilt to save time and improve accuracy. Enhancements include:

  • Custom data fields and escalation rules
  • Flexible notice-to-vacate settings
  • The ability to extend contracts without rewriting terms
  • ySign Express – a simple, online signing experience that can trigger instant contract activation

Introducing the Upcoming Yardi Kube CRM

One of the highlights of the day was the unveiling of Yardi Kube CRM, Yardi’s new, purpose-built customer relationship management tool integrated directly into the Voyager platform. Purpose-built for coworking and flexible workspace providers, the system aims to replace third-party CRMs and become the single source of truth for sales and marketing.

Key features showcased in the live demo included:

  • Personalised activity boards for sales teams
  • Two-way communication tools, including Outlook, SMS and phone call integration
  • Comprehensive campaign performance analytics, with data on lead sources, MRR and conversion rates
  • Pipeline tracking, giving visibility into tours, proposals, and closed deals
  • Automated renewal workflows, with built-in reminders for upcoming contract expirations
  • Multi-property tour tracking and full customer history across sites
  • Full integration with Voyager, streamlining operations and reporting

While the first version won’t immediately replace tools like HubSpot for every user, the long-term vision is clear: Yardi Kube CRM is designed to consolidate all aspects of a lead into a single, connected system. Clients already using the CRM platform have provided positive feedback, including the requirement to have a proposal stage after a successful tour, but before contracts are finalised.

Client Feedback

During the user group, we were joined by two clients who shared how they’re leveraging Yardi solutions to drive efficiency and insight across their businesses.

Argyll showcased how it has streamlined operations by integrating Prospect Portal, Yardi Kube, Voyager, Construction Manager, and Facility Manager. They continue to focus on enabling greater automation and reporting capabilities through workflows and Power BI.

Mantle Space highlighted the value of unifying operations and finance in a single system, leading to more accurate and comprehensive reporting. They also recently completed a Yardi Health Check to optimise their setup, which is available to all clients.

Final Thoughts

The 2025 Yardi Kube User Group offered a clear view of where the coworking sector is headed and how Yardi is preparing operators for that future. From a brand-new CRM to operational dashboards, automated workflows, AI-driven engagement, and next-gen pricing tools, the platform continues to evolve to support a more dynamic, tech-driven workspace landscape.

A key takeaway was the benefit of managing operations within a single, fully connected system. By using a single platform, clients avoid the complexity of managing multiple systems, integrations, and suppliers. For those already using Yardi for IT Management, adding Space Management is a natural next step – and with most of the groundwork already in place, the hard work has already been done, making the process significantly more efficient. This integrated approach allows operators to scale with confidence and streamline their digital infrastructure.

Whether you’re a single-location operator or managing a global portfolio, Yardi Kube is building the infrastructure for your next chapter.
